Your marketer quit. Who owns the Mailchimp account — and your email list?
Your email list is one of the few marketing assets you own outright — no algorithm sits between you and it. Which makes it remarkable how often the Mailchimp account holding that list was signed up years ago under one marketer's email address, on a password only they know.
When that person resigns, two very different situations look identical from the outside. Which one you're in decides everything.
First, figure out which case you're in
Case A: the company owns the Mailchimp account, and the departing marketer is a user on it. This is the easy case — remove them, done.
Case B: the account itself was created by the marketer — their email is the login, and they hold the Owner role. Now the list, the templates, the sending history, and the billing all live in an account you don't control.
Mailchimp accounts have up to five user levels — Viewer, Author, Manager, Admin, and Owner. Owner and Admin have full account access, but the Owner is the anchor the account hangs off. Check Settings → Users to see who's what.
Case A: remove their access
- 1Sign in as an Owner or AdminOnly Owners and Admins manage users.
- 2Open your profile icon → Account → Settings → UsersFind the departed employee in the list and remove them.
- 3Sweep the side doorsReview connected integrations and API keys, and rotate any shared passwords stored in a password manager — removal from the user list doesn't undo everything they may have connected.
Case B: transfer ownership of the account
- 1Get the departing owner to add youThey invite a company account (e.g. marketing@yourbusiness.com) as a user with the Admin level.
- 2They transfer ownershipFrom their profile icon → Account → Settings → Users, the Owner transfers the Owner role to your Admin user. Their own level automatically reverts to Admin.
- 3Remove their access and update billingOnce you hold Owner, remove their user, put billing on a company card, and update the sending defaults if they pointed at a personal address.
- 4If they're unreachable or uncooperativeContact Mailchimp support with evidence the account is your business's — billing records, the sending domain, company registration. And if you still have any working access, export your audience immediately so the list is safe whatever happens.
This isn't really about Mailchimp
Swap in Klaviyo, Brevo, Constant Contact, or HubSpot and the story is identical: marketing tools get signed up in a hurry, under whoever runs them, on a personal card. The fix is the same three rules everywhere — the account is created under a company mailbox, at least two people hold admin, and billing is on a company card. Then a departure is a checkbox, not a crisis.
