Who owns your Klaviyo account? Your list and revenue flows depend on it.

For an e-commerce business, Klaviyo isn't a marketing tool — it's a revenue channel. The flows, the segments, the years of engagement data, and the subscriber list itself all live in one account, under one Owner role. And like every tool in this series, that Owner is often whoever set it up: the launch-era marketer, the agency, a freelancer from three campaigns ago.

Klaviyo's ownership model is strict in a way that cuts both ways: only the current Owner can transfer ownership, and Klaviyo won't initiate a transfer without the Owner's approval. Strict is great while you hold the role — and painful when the wrong person does.

Check who the Owner is

In Klaviyo, open Settings → Users. Roles run from Owner and Admin down through Manager and Analyst. There's exactly one Owner; Admins have nearly full access but can't fully close the account — the Owner anchors it. If the Owner is a departed employee, an agency, or a personal email, schedule the fix now, while cooperation is available.

Transfer ownership, step by step

  1. 1
    Add the new owner as a user first
    The transfer target must already be a user on the account — the current Owner adds a company-controlled login (e.g. marketing@yourbusiness.com) via Settings → Users.
  2. 2
    The current Owner changes their role
    Settings → Users → click the new person's name → User Role dropdown → Owner. Only the current Owner sees this option.
  3. 3
    The old Owner reverts to Admin automatically
    Once the transfer completes, the former Owner becomes an Admin — and only the new Owner can change that. Remove or downgrade them as appropriate.

    Sweep the account after
    Billing card, sending domains, API keys and integrations — re-point anything tied to the departed person.
If the Owner is unreachable or refuses, contact Klaviyo support with evidence the account belongs to your business — but know their policy protects the current Owner by design. Export your list immediately with whatever access you still have; the list is the asset you can't rebuild.

The agency arrangement, done right

  • The account is created and owned by the business; the agency works as Admin or Manager — those roles can run every campaign.
  • Billing on a company card, sending domain verified under your control.
  • Export your audience on a schedule — a CSV in your own storage is cheap insurance against every failure mode in this article.
  • Review Settings → Users when the engagement ends, and rotate any shared credentials.
