No role accumulates account access like marketing. In three years, a good marketing manager signs up for a dozen tools, becomes admin on every social platform, holds the ad accounts, owns the email list operationally, and is the recovery contact on half of it — usually with a mix of company and personal logins that made sense in the moment.
When they resign, the standard IT offboarding (kill the email, collect the laptop) touches almost none of it. Here's the marketing-specific sweep, built on the five kinds of dependency from our general offboarding checklist.
The marketing estate, mapped
- Social: Facebook Page and Instagram (via the Meta Business portfolio), LinkedIn Company Page, TikTok, YouTube, X — each with its own admin list.
- Email marketing: Mailchimp/Klaviyo/Brevo — who owns the account, and whose card pays for it?
- Analytics & tags: GA4 and Tag Manager access; the pixel and its datasets.
- Ads: Meta ad accounts, Google Ads, LinkedIn Campaign Manager — and the payment methods inside each.
- The long tail: Canva, link shorteners, scheduling tools (Buffer/Later), landing-page builders, webinar platforms, stock-photo licences — the tools nobody else has ever logged into.
Before their last day
- 1Walk the list togetherOne hour with the departing manager and the list above: for each item — who owns it, who else can get in, what renews on which card. You're filling the register you should have had.
- 2Transfer anything they own outrightEmail platform under their login → transfer ownership (see the Mailchimp guide). Instagram tied to their phone → move it into the Business portfolio. Tools on their card → company card.
- 3Add a second admin everywhereEvery platform above should end the week with a current employee holding admin alongside them.
- 4Re-point recovery contacts and 2FARecovery email/phone on socials and tools moves to company-controlled contacts — this is the step everyone forgets and regrets.
Departure day and after
