Who controls your HubSpot account? Super admins — and the CRM they hold.

HubSpot tends to become the memory of a business: every contact, every deal, every email thread with every customer. Control of that memory sits with the Super Admin permission set — full access to everything, including user management — and HubSpot's model has one rule that matters more than all the others: only an existing Super Admin can make someone else a Super Admin.

That rule makes succession unforgiving. Get it right while your admin still works for you, and it's a two-minute task. Get it wrong, and you're writing to HubSpot support about an account you can see but not govern.

Audit your admins

In Settings → Users & Teams, review who holds Super Admin. The familiar flags apply — exactly one holder, a departed employee, an agency or freelancer's own login, a personal address. Users with 'Add and edit users' permission can manage other users, but they can only grant permissions they themselves hold — Super Admin can only come from a Super Admin.

The assign-before-they-leave rule

    Add a second Super Admin now
    HubSpot's own guidance: before a Super Admin leaves the company, another user should be granted Super Admin. Make it a standing rule, not a departure-week scramble.

    On departure, follow the offboarding sweep
    Deactivate their user, reassign their owned records (contacts, deals, tasks) so pipelines don't orphan, and check connected email inboxes and integrations they authorised.

    Keep agencies out of the Super Admin seat
    Partner and marketing agencies can do their work with scoped permission sets; HubSpot even has dedicated partner access. The Super Admin seats belong to the business.

If the last Super Admin is already gone

Two paths, in order of speed. First: if your IT team controls the email domain, resurrect the departed admin's mailbox and use a password reset to sign in and grant Super Admin to a current employee — routine, and legitimate for company-owned accounts on company domains. Second: if that's impossible (personal email, deleted mailbox), only HubSpot support can transfer Super Admin rights — expect identity and business verification, and budget days rather than minutes.

Either way, the first act after regaining control is the same: two Super Admins, both on company logins.
